Woohelps International Technology Ltd. – Privacy Policy for Internal QuickBooks Connector

1. Personal & Financial Data We Collect

Through Intuit's API the Software imports:

  • Customer names, addresses, e-mails, phone numbers
  • Invoice, payment, bill, and journal-entry details
  • Chart-of-accounts line items and balances

2. How We Use the Data

Collected data are used only for internal bookkeeping, reconciliation, reporting, and audit preparation. We do not sell, rent, or share this data with third parties.

3. Legal Basis

Processing is based on Company's legitimate interest in accurate financial record-keeping.

4. Storage & Security

Location: Encrypted databases hosted on 1410 Pringle Cres, Saskatoon, Saskatchewan, Canada.

Encryption: TLS 1.2+ in transit; AES-256 at rest.

Access Control: Role-based access; MFA required for all privileged accounts.

5. Retention & Deletion

We retain QuickBooks data for seven (7) fiscal years to meet tax and audit obligations, after which backups are purged using secure-erase procedures.

6. Your Rights (Employees / Contractors)

You may request access to, correction of, or deletion of data associated with your personal profile in Company systems, subject to legal retention requirements. Send requests to info@woohelps.com

7. Third-Party Processors

Apart from Intuit (QuickBooks Online) and our cloud-hosting provider, no external processors receive QuickBooks data.

8. International Transfers

All processing occurs within Canada. We do not transfer QuickBooks data internationally.

9. Changes to This Policy

We may update this Policy. Material changes will be communicated via internal e-mail at least 14 days before they take effect.
